Refund and Cancellation Policy

This Refund and Cancellation Policy applies to busybeeplaycafe.com and Busy Bee Play Cafe LLC ("Company"). By using the Company website or services, you consent to the practices described in this policy.
Our Credit-Based Philosophy
At Busy Bee Play Cafe, we understand that plans change. Instead of traditional refunds, we offer flexible booking credits that allow you to reschedule your visit without losing your investment. This approach benefits our families by providing maximum flexibility while helping us manage capacity and staffing effectively.
Daily Drop-In Pass Cancellations
Advance Cancellations (24+ hours notice)
• 100% booking credit issued automatically
• Credit valid for 6 months from original booking date
• May be used for any future visit or purchase
Same-Day Cancellations (Less than 24 hours notice)
• 50% booking credit issued
• Credit valid for 3 months from original booking date
• May be used for any future visit or purchase
No-Shows
• No credit issued for no-shows
• Please contact us if you're running late - we'll do our best to accommodate you
Birthday Party and Event Cancellations
30+ Days Before Event
• 100% credit toward future party or cafe services
• Credit valid for 12 months
• May be transferred to another family member (transfer fee: $25)
15-29 Days Before Event
• 75% credit toward future services
• Credit valid for 9 months
7-14 Days Before Event
• 50% credit toward future services
• Credit valid for 6 months
Less Than 7 Days Before Event
• 25% credit toward future services
• Credit valid for 3 months
Membership Refunds
Monthly Memberships
• No refunds
• May be cancelled at any time with 30 days advance notice
• You will retain access through the end of your current billing period
• Example: Cancel on March 15 with billing date of March 1 = access continues through April 1
Annual Memberships
• Non-refundable after 14 days from purchase
• Within 14 days: Full refund available minus any usage
• After 14 days: No refunds, but you retain access through expiration date
• Cancel auto-renewal: 30 days notice required before expiration date
Pausing Memberships
• Monthly memberships may be paused for up to 2 months per year
• Pause requests require 7 days advance notice
• Your membership term extends by the length of the pause
• Valid reasons for pausing: medical issues, extended travel, family emergencies
How Booking Credits Work
Using Your Credits
• Credits automatically appear in your account
• Redeem online when booking or at check-in
• May be used toward any service: daily passes, parties, cafe purchases
• Multiple credits can be combined
Credit Limitations
• Credits have no cash value and cannot be redeemed for cash
• Non-transferable (except party credits with transfer fee)
• Must be used before expiration date
• Expired credits cannot be reinstated
Emergency and Illness Exceptions
We understand that life happens. In cases of documented emergencies or illness, we offer additional flexibility.
Qualifying Emergencies
• Serious illness or injury requiring medical attention
• Family emergency or bereavement
• Severe weather or natural disaster
• Vehicle breakdown or accident
Emergency Accommodation
• 100% credit regardless of notice period
• Extended credit expiration (12 months)
• Documentation may be required (doctor's note, incident report, etc.)

Weather-Related Cancellations
Facility-Initiated Closures
• If we close due to severe weather: 100% credit with extended expiration • Notification will be sent via email and social media
Guest-Initiated Weather Cancellations
• If facility remains open but you choose not to travel: standard cancellation policy applies
• Exception: Severe weather warnings for your area = emergency accommodation (100% credit)
Refund Exceptions (Actual Refunds)
Cash refunds (instead of credits) are only issued in the following circumstances:
• Duplicate charges or billing errors
• Service not provided as described
• Facility permanently closes
• Annual membership cancelled within 14 days of purchase
• At management's discretion for exceptional circumstances
Processing Times
• Credit issuance: Immediate for online cancellations, within 24 hours for phone/email cancellations
• Cash refunds: Processed within 5-7 business days to original payment method
• Bank processing: Allow 7-10 business days for refunds to appear in your account
How to Request Cancellation or Credit
To cancel a booking or request credit:
Online: Log into your account and click "Cancel Booking" in your reservations
Email: hello@busybeeplaycafe.com (include booking confirmation number)
In Person: Visit our front desk
Disputes and Resolution
If you have concerns about a cancellation or credit:
• Contact us immediately at hello@busybeeplaycafe.com
• We will respond within 2 business days
• Most issues are resolved within 5 business days
• Management has final decision authority on all refund and credit matters
Modifications to Policy
Busy Bee Play Cafe LLC reserves the right to modify this Refund and Cancellation Policy at any time. Changes will be posted on our website with a revised "Last Updated" date. Changes apply to bookings made after the revision date. Busy Bee Play Cafe LLC encourages you to periodically review this Policy to stay informed of our updates.
